How Late Can We Ask to Move Our Accreditation Survey Date, and What Happens If We Are Not Ready?
Reviewed November 2026
No common last-request deadline applies across the documents reviewed; four weeks remaining guarantees neither a date change nor a particular outcome for missing records. Ask your accreditor, in writing, whether your date can move; IHS drafts, you send.
Start by establishing whether you have an announced appointment, an estimated window or an application milestone. The distinction determines which question to ask. In IHS's reading, the checks below belong before a request for more time, not after a surveyor arrives.
Can we move a Joint Commission survey four weeks before it happens?
The Joint Commission's public process page gives no four-week postponement rule or last day to ask. Most surveys arrive without advance notice; non-deemed initial surveys are an exception. The page identifies the account executive as a resource for preparation questions, but does not identify a postponement decision-maker or refusal consequence. Ask that contact for the applicable procedure.
For findings requiring improvement, the page sets a 60-day post-survey deadline for corrective-action submissions. In IHS's reading, that correction process does not establish advance permission to arrive unprepared or predict the decision on your missing records. Obtain the program-specific answer.
Which NCQA date would we actually be moving?
NCQA's 2022 guide uses two dates: the survey start, when your completed survey tool is ready to submit, and the onsite visit, which normally follows seven weeks later; in IHS's reading, the date you would move is the one your scheduling notice names. NCQA's 2022 guide gives no cutoff for changing either. Onsite timing increases to eight weeks across Thanksgiving or Christmas, or nine across both. Survey starts exclude Thanksgiving week and the following week. NCQA approves requested dates. The guide, 2025 Health Plan Accreditation updates and Behavioral Health FAQ supply no refusal outcome.
In IHS's reading, identify which milestone your notice means before applying the holiday adjustments.
The HPA updates tie look-back provisions for CR 1, Element A to survey timing; the Behavioral Health FAQ applies new standards to surveys beginning July 1, 2026. Check the milestone, evidence period and standards version before proposing a date. In IHS's reading, HPA provisions should not be carried over to Behavioral Health.
When does ACHC treat a change as refusal?
ACHC's Specialty Pharmacy process revised in 2023 and DMEPOS process revised in 2021 switch to refusal procedures the day before an announced survey, or on survey day when unannounced. Both address announced and unannounced surveys; confirm your category. Scheduling starts after the required preliminary evidence documents arrive. Written postponement requests go to the Account Advisor after the pre-survey call, or after referral to scheduling if there is no call. Acceptance is ACHC's decision.
Under these documents, accepted postponement or refusal carries a charge before rescheduling. Written readiness notification is due within 180 days of postponement or refusal; missing it risks forfeiting the deposit and application, requiring reapplication. Confirm current terms before relying on these dated documents.
Can we schedule around unreadiness with NABP or BOC?
Neither reviewed guide gives a last day to postpone for NABP or BOC DMEPOS surveys, which are unannounced. BOC rejects scheduled-survey requests without a written CMS exception. NABP's Application Guide identifies no change approver or refusal sanction. Other NABP programs differ: Digital Pharmacy and Drug Distributor surveys are arranged with applicants.
NABP's Specialty Pharmacy pricing page lists requests for extra time and survey-scheduling delays among events that may bring additional fees.
BOC's May 2026 DMEPOS guide requires that exception before an expiration date it does not attribute to anyone. It gives no general last-minute postponement deadline. Separately, BOC denies accreditation when a supplier provides falsified records or does not provide patient records for review. That is a stated records consequence, not a finding about every unfinished document. Ask BOC which procedure addresses your actual gap.
Does CARF's requested survey window let us postpone?
CARF's public steps page does not turn a requested window into permission to postpone. The application collects a preferred two-month period; CARF begins scheduling when it invoices. The page does not specify the notice interval, latest change request, change approver or refusal consequence.
CARF reviews survey findings before issuing its accreditation decision. In IHS's reading, an unfinished records set therefore needs a specific question, not an assumed outcome: ask your CARF contact for the scheduling and refusal provisions in the manual governing your program. A preferred window alone does not answer whether an already assigned date can move.
Can we move a URAC validation review date?
URAC's public pages state no rule for rescheduling a validation review and no notice period for a change. Its process page says a validation review can be on site, virtual or both and takes about one to three days, and its FAQ says mid-cycle monitoring reviews go to randomly chosen organizations with advance notice. The only timing relief the two pages describe is the FAQ's answer on extensions during the application process, which says nothing about moving a survey date (process page https://www.urac.org/accreditations-certifications/accreditation-process/ and FAQ https://www.urac.org/accreditations-certifications/accreditation-faqs/, both read Nov 2, 2026).
What should we do if records will still be missing on survey day?
Prepare a survey-day response plan instead of treating unreadiness as a postponement; that is IHS's reading of the unannounced-survey and refusal provisions. Name the person who will receive surveyors. Identify the available records and document the unresolved gap. Keep the applicable refusal procedure available to that person.
ACHC's cited documents require its refusal form and Account Advisor contact. A surveyor also reports refusal when an organization is ineligible for survey or closed during posted hours. Those triggers and the 180-day readiness clock belong to those ACHC documents. They cannot be assumed to govern NABP, BOC or The Joint Commission.
What must we settle before sending a written request?
Settle who can approve the change, what depends on the original date and exactly which records are missing; this is IHS's drafting framework. Identify the scheduling notice and proposed completion date. Check each relevant contract or state requirement for the event its deadline measures, and take unclear language to counsel. Ask for a written disposition, including conditions and consequences if the request is refused.
For CMS-approved deeming programs, 42 CFR 488.5(a)(4)(i) requires an agreement to unannounced resurveys within 36 months of the prior accreditation effective date, or a shorter statutory interval. In IHS's reading, that outside interval grants no provider postponement right. IHS drafts the request; the client sends it. The accreditor decides.
What this is NOT
This is not a promise of a date change, a readiness determination or a recommendation to choose an accreditor.
This is not legal advice. Counsel should resolve contractual and state-law consequences.

Frequently asked questions
Do we need a consultant to ask?
No. Your team can review its notice, document the records gap and send the request itself. IHS can help map the gap and draft a precise question when that work needs support.
Will IHS contact the accreditor for us?
No. IHS drafts for your review; your organization sends. IHS never contacts, submits to, confirms with or represents a client before an accreditor, regulator or payer.
